How kandidly Scaled Candidate Status Emails to 1M/Month
kandidly sends personalized application status updates to candidates at scale — rejections, interview invites, and offers all need to land in the inbox. Here's their setup.
kandidly is an applicant tracking system used by HR teams at mid-market and enterprise companies. Every application status change generates a candidate-facing email: application received, under review, interview scheduled, interview completed, offer extended, or application declined. At a million emails a month, the stakes are high — a missed interview invite or a rejection that lands in spam creates a terrible candidate experience that reflects on the employer.
The compliance requirement
kandidly's enterprise customers required email delivery receipts for every status update sent to candidates — particularly rejections and offers. This is a legal requirement in some jurisdictions: employers need to be able to prove a rejection was sent. Sendbound's webhook system provides a signed delivery receipt for every email, with the recipient's MTA-level acknowledgment timestamp. kandidly stores these receipts in their audit log automatically via a Sendbound webhook listener.
Sender reputation isolation
kandidly sends on behalf of their customers' domains — a candidate applying to Acme Corp receives an email from @acmecorp.com, not @kandidly.io. Sendbound's multi-domain sending infrastructure lets kandidly configure per-customer sending domains, each with independent reputation tracking, DKIM keys, and bounce handling. A spike in bounces on one customer's domain doesn't affect any other customer.
"Sendbound was the only provider that could handle per-customer domain isolation at our scale without us having to manage the infrastructure ourselves."
Interview invite reliability
Interview invite emails are the highest-stakes send in kandidly's system. A missed interview invite can cost a candidate a job and a company a hire. kandidly uses Sendbound's priority send queue for interview invites, which guarantees sub-five-second delivery. For candidates at companies using Gmail or Microsoft 365, Sendbound's established domain reputations mean these emails reliably appear at the top of the inbox, not buried in promotions.
